A woman calls at 8:40 on a Tuesday in March and opens with a product name. She wants one of the whole-house air purifiers her neighbor just had installed, and she wants to know what it costs. The dispatcher takes her name, her address, and books a two-hour consultation for Thursday.

Thursday, the technician walks in and finds the real call. Her daughter has been coughing since October, the basement got finished last spring, and there is a one-inch fiberglass filter in the hallway return that has sagged in the middle. The furnace is a 1994 unit with a PSC blower. That hallway grille is the only return in a four-bedroom house where every door stays shut at night. The purifier her neighbor has would bolt onto this system and choke it.

Every one of those facts existed on Tuesday morning. Nobody asked for them.

Air quality calls are the easiest HVAC call to book badly, because the caller arrives holding a solution instead of a symptom. A good intake gets underneath the product request, captures the details that decide what is possible on that system, and sets the expectation that the recommendation comes after somebody measures the blower.

The complaint under the product request

Start with what changed. "What are you noticing in the house, and when did it start?" A caller who leads with equipment will usually answer that question with the actual problem inside ten seconds.

The complaints sort into four families, and they send the technician down different paths. Dust: ask what surfaces, how fast it comes back, and whether one part of the house is worse. Someone who dusts Saturday and sees it Wednesday is describing something different from someone finding gray fuzz on the supply registers, which points at duct rather than filter. Odors: get the smell, the room, and the timing. A musty smell that appears only when the system runs is a different investigation from one that sits in a closet all day. Write down what the caller said and let the technician open the cabinet.

Allergies or breathing complaints: take the words verbatim and pass them along without interpretation. Nobody on a phone connects a symptom to equipment, and nobody promises that a filter will fix a person. What this answer changes is scheduling and tone. These callers want an earlier slot and a technician with patience for questions that have unsatisfying answers.

Humidity: homeowners almost never say the word. In summer they say the house feels clammy at 72 degrees, or the basement smells every July. In winter they say static shocks and a floor that opened up at the seams. Condensation on the inside of windows gets its own note, including which windows and whether it shows up as fog, running water, or ice at the sash.

Then ask what happened around the time it started. A roof leak, new flooring, a finished basement, a first summer in the house. Callers remember these when prompted and volunteer them almost never.

What is in the filter slot right now

Most intakes skip this, and it shapes the whole visit.

Ask the caller to go stand at the furnace or the return grille. Most will do it while you are on the phone. You want three things off the filter: the size printed on the frame, the depth, and the MERV rating printed on the edge.

Depth matters more than callers expect. A one-inch slot and a four-inch media cabinet are different pieces of equipment. The MERV scale used for residential filters runs from 1 to 16. Fiberglass panels sit at the bottom, ordinary pleated filters land around MERV 8, and the higher-efficiency residential filters run 11 to 13. Within the same depth and face area, pressure drop climbs as MERV climbs. A four-inch media filter has far more pleat area than a one-inch of the same rating, so it restricts less at the same MERV. That one fact decides whether better filtration is a cheap upgrade or a sheet metal job.

Ask when it was last changed. "I don't know" is a useful answer. So is "the one that came with the house." Then ask what else is already installed: a UV lamp, an in-duct ionizer, a bypass humidifier, a portable HEPA unit in a bedroom. If there is a portable, note which room, because it tells you where the family actually spends time.

The duct system decides more than the filter does

Filtration only works on air that goes through the filter, and plenty of houses move a fair share of their air around it. Four questions get you most of the way.

  • How many return grilles are there, and where? One central hallway return is common in older builds and is the usual culprit behind both pressure problems and dusty rooms.
  • Where does the ductwork run? Attic, crawlspace, or conditioned basement. Return-side duct leaking in an attic or crawl pulls dust and humid air straight into the system, and no filter upstream of that leak ever sees it.
  • Has anyone sealed, repaired, or added duct, and who did it?
  • Is any of it visible? A homeowner who can see kinked flex or a disconnected boot dumping into the crawlspace has already found something worth putting on the ticket.

Ask whether bedroom doors stay closed at night. A closed door on a room with a supply and no return path raises pressure in that room and starves the return side, which is the same problem the filter upgrade is about to make worse.

Home size, home age, and how tight it is

Square footage, stories, and year built take fifteen seconds and change the shortlist.

A 1962 ranch with original windows leaks enough that fresh air is rarely the problem, and the conversation runs toward filtration, duct leakage, and humidity control. A 2019 build is a different animal. Tight houses hold onto whatever gets generated inside them, so mechanical ventilation belongs on the table. Ask whether there is an ERV or HRV, whether a fresh-air duct ties into the return, and whether the bath fans vent outside rather than into the attic. ASHRAE 62.2 is the residential ventilation standard here, and whether it applies to a given house depends on which code that jurisdiction adopted and when.

Capture recent envelope work too: new windows, spray foam, attic air sealing. Odor and humidity complaints often start after a house gets tightened, and the technician wants to know the house changed before anyone starts theorizing about equipment. Finish with pets and how many, whether anyone smokes, and whether the caller already has measurements sitting around. A radon result, an inspection report, a hardware store hygrometer, a consumer air monitor blinking on a shelf. If there is paper, ask them to have it out Thursday.

Why the blower check comes first

Here is the part to say on the phone, in plain language, before anyone gets attached to a product.

Every filter, coil, damper, and foot of duct resists airflow, and the blower has a finite amount of push. Many residential furnaces and air handlers are rated to deliver their listed airflow at 0.5 inches of water column of total external static pressure. A fair number of systems in the field are already running above that before anyone touches the filter, thanks to undersized returns, restrictive coils, and duct that got cut to fit rather than designed.

Drop a MERV 13 into a one-inch slot on a system like that and airflow falls. In cooling, low airflow across the evaporator pushes coil temperature down and the coil can ice over. In heating, the furnace can trip its high limit and short cycle. A variable-speed ECM will fight harder to hold its target airflow, drawing more watts and getting louder, and it still runs out of room eventually. The homeowner ends up with an expensive filter, worse comfort, and a service call.

So the technician measures. A manometer, static pressure probes upstream and downstream of the air handler, a reading across the filter and across the coil, and now there is a number instead of a guess. That number says whether the system has headroom for better filtration, whether the return side needs work first, or whether the duct system is the actual project and the air cleaner is phase two.

Saying this on Tuesday changes Thursday. It reframes the visit from "come price the purifier" to "come find out what this system can carry," which makes the technician's recommendation land as a finding rather than an upsell.

Options that fit an existing system

What ends up on the proposal depends on the measurements, and the intake should promise none of it. The realistic menu: a deeper media cabinet where there is room and blower capacity for it, return-side and duct repairs that sometimes settle a dust complaint with no new equipment at all, a dedicated whole-house dehumidifier for the summer clammy call, humidification for winter dryness, mechanical ventilation in tight houses, and portable HEPA units in the bedrooms where people actually sleep. EPA guidance on controlling mold and dust mites puts indoor relative humidity between 30 and 50 percent, and an oversized air conditioner will not get a house there on its own.

Some in-duct devices deserve caution rather than enthusiasm. The EPA has a standing warning about ozone generators sold as air cleaners, and anything that produces ozone by design belongs in that conversation. A technician can walk a homeowner through it in the house. A phone script should not try.
